In preparation for the NC E-Procurement Service implementation, agencies will begin using new procedures regarding matching vendor adds and changes.  On the proposed effective date of June 18, 2001, all NCAS users who add or change vendors must follow these procedures.

Matching vendors (vendors who receive purchase orders) will no longer be maintained via the VSU screen using the VADD and CHGE Paying Entities.  In order to be able to receive purchase orders once the E-Procurement system goes live, all matching vendors must register for the E-Procurement system using the electronic Vendor Self-Registration process available through the NC @ Your Service State Portal (www.ncgov.com).  All changes to matching vendor information, such as address, contact name, etc. also must be made by the vendor via the registration site.  Existing matching NCAS vendors will begin registering in a phased approach beginning in June.  Vendor additions and changes made via registration will be passed to the NCAS nightly.  Epylon will maintain the matching vendor file.  Any changes or questions must be directed to the Epylon Help Desk at 1-888-211-7440 or email to EPhelpdesk@ncmail.net.

Direct vendors will continue to be processed in the same manner as today.  Direct pay vendors will still be added using the VADD entity and changed via the CHGE entity and processed by the State Controller’s Office.  If you have questions, regarding direct pay vendors, you should continue to call the OSC NCAS Help Desk at (919) 875-HELP (4357).
