 The rules governing the use of payroll numbers is now changing.  In the past, it was necessary for you to call in to obtain a payroll number for certain cycles.  This is no longer required.  The payroll number used will follow the rules below:

1. The payroll number used for a particular month will be the same as the date used for the month, except that it will be in a three-digit format.  For example the payroll number used for April will be 004 and the one used for December will be 012.  This format will also apply to mid-month and C&R payrolls.

2. During the month, we produce payroll transmittals.  The payroll number used on this transmittal is the same as that shown on the payroll register.  When the payroll information is keyed from the payroll transmittal, you will enter the payroll number as shown on the transmittal.  When the actual payroll is produced, the payroll number will be automatically assigned a payroll number representing the month being paid.

3. We now ask that your agency avoid using the payroll number 999.

4. C&R's automatically run and pull any payroll number entered by your agency.

5. Please review the payroll time schedule before entering a 'Q' or 'S' cycle, to ensure that it is pulled with the correct payroll run.

X/PTR INFORMATION

In regard to the printing of reports using X/PTR, please note the following:

1. Locate the LAN administrator for your agency.

2. Ask them to contact ITS to have you set up for an addressable printer.

3. The printer should be set to handle 133 characters.

4. The printer should be set to print in the landscape mode.

5. You should record the ID number for this printer.  The ID# will be needed to send reports to print.

A new report will be available to all agencies at the end of this month through X/PTR.  The report may be viewed on-line or printed at your location by use of an addressable printer.  Please find listed below the pertinent information regarding the report.
