After a count is completed, the warehouse manager enters the physical count quantities on the Post Cycle Count Activity (CCAU) screen. Each inventory detail record that appeared on the count sheet is displayed on the Post Cycle Count Activity (CCAU) screen. Each inventory detail record is considered an individual line on the cycle count.
When the physical count quantities are posted to the Post Cycle Count Activity (CCAU) screen, the status of each line on the cycle count must be changed. Before posting, each cycle count line has a status of F for firm. A firm cycle count line has not had any physical count quantity posted to the system. Once the physical count quantity is entered on the Post Cycle Count Activity (CCAU) screen, you must change status for the line to C for complete. The physical count quantity has been posted to the NCAS for a complete line. A status of P for partial is also valid for cycle count lines. P status indicates that the physical count for the line was started but is not yet complete.
Although the physical count quantities are posted to the NCAS at this point, the system-maintained quantities are not automatically updated by the physical count quantities. In addition, any discrepancies between the physical count and system-maintained quantities are not posted to the general ledger. These transactions do not occur until the cycle count is closed.
If incorrect physical count quantities are entered on the Post Cycle Count Activity (CCAU) screen, several options are available to the warehouse manager to correct the error. If the incorrect quantities were recently posted to the NCAS, the warehouse manager can simply access the Post Cycle Count Activity (CCAU) screen and change the count quantities. However, if several weeks have passed since the incorrect quantities were posted to the system, the warehouse manager should cancel the cycle count and initiate a new cycle count. In this case, the warehouse manager must begin the entire reconciling process again, beginning with requesting the cycle count on the Cycle Count Request (CCR) screen. You will learn to cancel cycle counts later in this section.
