Adding Inventory Items in the NCAS

In order to track inventory transactions and control inventory replenishment, inventory items must be established in the item files in the NCAS. The NCAS contains two item files: one in the Inventory module and the other in the Purchasing module. Only the Office of the State Controller (OSC) has authority to add items to these two item files. Upon request by an agency, the OSC adds inventory items to the item file in the Inventory module. The warehouse manager must then associate the inventory items with the warehouses in which these items are stocked. The first time that an item is associated with a warehouse, the NCAS adds that inventory item to the item file in the Purchasing module. The Purchasing item file is known as the Statewide Item File. The Statewide Item File is the master item file that is shared by all state agencies using the NCAS. The Statewide Item File contains both stock and nonstock items and is used by requisitioners and buyers across the state. Note that only stock items, those items with the catalog number STCK, are associated with warehouses in the system.
