Emergency Special Hours Request Procedures

The System Information Guide (SIG) contains the Monthly Operations Calendar for the North Carolina Accounting System (NCAS). If agencies wish to request an exception to the published weekend hours noted on the Calendar of the SIG, they are required to submit an Emergency Special Hours Request Form. This form must be submitted at least three (3) working days in advance. The following information is required:
  1. Agency name, phone and fax number, production region and person requesting the special hours.
  2. Date/hours requested and type of support required from OSC/NCAS:
    • Data Entry Only: agency will be keying data only and will not need an update cycle run
    • Production Cycle Update: agency will need to have an update cycle run , for example, checks need to be run on Monday.
    • Special OSC Support Services: In addition to Support Services for resetting passwords, etc. agency will need special support (1099s, CAFR)
    • DSS: DSS update included with production cycle update.
  3. Brief description of the nature of the emergency that requires special hours. Examples of emergencies would be end of year deadlines, CAFR requirements, disasters (Hurricane Fran), etc. Examples that would not be considered emergencies:  agency personnel on vacation, personnel vacancies, etc.
  4. Signature authorization from the agency and representatives of the NCAS functional and technical teams.
  5. When the form is completed, it should be faxed to the OSC/NCAS Support Services Section at (919) 981-5561,
    ATTN:  Technical Applications Manager. When OSC/NCAS receives the form and either approves or denies the request, OSC will notify the person requesting the special hours of the decision.
